1. The short version

We collect what we need to run the apps, bill you and keep things secure. We don't sell personal information, we don't run ads, and we don't use your data in our consulting or expert witness work.

This policy covers H5, LLC ("H5," "we," "us"): our apps at app.h5consult.com, such as Production Tracking and Manpower Forecast, and our website at h5consult.com. It goes with our Terms of Service.

2. What we collect

Work dataEstimates, line items, quantities, hours, notes, photos, site conditions, projects, people's names and roles, schedulesYou and your users, typed in or imported from a spreadsheet
Billing infoBilling contact, plan, payment history, last four digits and expiry of your cardYou, through Stripe. Full card numbers go straight to Stripe; we never see or store them
Sign-in and usageOne-time sign-in codes, sign-in times, pages used, device and browser type, IP address, error logsAutomatically, when you use the apps
Website and contactPages visited, how you found the site, anything you send through a form, email or call bookingAutomatically on h5consult.com, or from you

We don't ask for, and you shouldn't upload, Social Security numbers, health information, bank account numbers or similar sensitive data.

3. How we use it

  • Run the apps: sign you in, show your dashboards and forecasts, send reports and summary emails you've turned on
  • Bill you: process payments, send trial reminders and receipts
  • Support you when you ask, using only what's needed to fix the problem
  • Keep things secure: spot abuse, stop unauthorized access, fix bugs
  • Improve the apps, using combined usage numbers that don't identify you, your company or your people
  • Tell you about important changes to the apps, these policies or your account
  • Meet legal obligations

What we never do:

  • Sell or rent personal information
  • Show ads or share data with advertisers
  • Use one customer's data for another customer
  • Use your data in H5 consulting, expert witness or litigation work (see section 4 of the Terms)
  • Use your data to train AI models. If we add AI features later, we'll update this policy first, name the AI provider in the list below, and only use providers that don't train on your data either

4. Who we share it with

Only the service providers that help us run things, and only what each one needs to do its job. They're required to protect it and can't use it for their own purposes.

ProviderWhat they do for us
SupabaseDatabase and sign-in
VercelHosts the apps
ResendSends sign-in codes, reports and account emails
StripeProcesses payments and stores card details
SquarespaceHosts h5consult.com and its contact forms
CalendlyBooks calls when you schedule one
GoogleBusiness email (Google Workspace)

We also share information when:

  • You tell us to, for example by inviting a subcontractor into your account
  • The law requires it. We follow the process in our Terms: we send the requester to you first where we can, and tell you before we disclose, unless the law forbids it
  • We need to protect someone from fraud, abuse or physical harm
  • The business changes hands. If H5 or the apps are sold, data moves to the buyer under this policy, and we'll tell you first

We'll update this list when we add or change a provider.

5. Your company's data, and your crews

When a company uses our apps, that company controls the work data it and its people put in, including crew names, hours and quantities. We handle that data on the company's behalf and follow its instructions.

If you're a crew member or employee and want to see, fix or remove your information, ask your company's admin first; they can make most changes directly. If you can't reach them, email us and we'll work with your company to sort it out.

Hours and quantities you log are visible to the people your company gives access to, such as foremen, superintendents and estimators. Dollar amounts are limited to the roles your company allows.

Legal requests for a company's data are handled as described in section 4 of the Terms of Service.

6. How long we keep it, and how we protect it

How long.

  • Active accounts: as long as the account is open
  • Read-only accounts (cancelled or lapsed): up to 12 months unpaid, then we may delete the data after 30 days' email notice to the admin, as the Terms describe
  • Deleted data: gone from live systems right away, and from backups within 30 days
  • Server and sign-in logs: up to 90 days
  • Billing records: as long as tax and accounting law requires, usually 7 years

Security. Data is encrypted in transit and at rest. Sign-in uses one-time email codes, so there are no passwords to steal or reuse. Access inside H5 is limited to the people who need it. No system is perfectly secure, but if a breach affects your information, we'll tell you promptly and as the law requires.

Where it's stored. In the United States. If you use the apps from another country, including Mexico, your information is handled in the US under this policy.

7. Your choices and rights

Ask, fix, delete, export. You can ask what personal information we have about you, get a copy, correct it, or have it deleted. Email info@h5consult.com. We'll answer within 30 days. We'll confirm it's really you before acting, and we won't treat you differently for asking. Some records, like billing history, we may need to keep by law.

State privacy laws. Some states, such as California, Colorado and Utah, give residents specific privacy rights. We honor the requests above for everyone, wherever they live. We don't sell or "share" personal information for targeted advertising, so there's nothing to opt out of.

Emails. Account emails, such as sign-in codes, trial reminders, receipts and security notices, are part of the service. Report and summary emails can be turned off in settings. If we ever send marketing email, every one will have an unsubscribe link.

Cookies. The apps use only the cookies needed to keep you signed in and remember settings like language. Our website uses Squarespace's standard cookies for site function and basic visitor stats. No advertising or tracking pixels. Your browser lets you block or delete cookies; blocking the app's cookies will sign you out.

8. Kids, changes and contact

Kids. The apps are for businesses and aren't meant for children under 16. We don't knowingly collect their information. If you think we have, email us and we'll delete it.

Changes. We'll update this policy as the apps grow. For a material change, we'll email account admins at least 30 days before it takes effect and update the date above.
